How to Keep Track of Cleaning Clients and Payments (Without Paying for Software)
Scheduling apps and cleaning-business software are great for companies with teams and dispatchers. For a solo cleaner with a steady client list, a monthly subscription is often more than you need. A well-organized spreadsheet covers the essentials for a one-time cost.
What you actually need to track
Strip it down and a solo cleaning business runs on three lists:
- Clients: who they are, where they live, how to get in, and what they like
- Jobs: every clean you do, what you charged, and whether it's paid
- Money owed: which clients still owe you, and for how long
1. Your client list
Give every client one row with:
- Name, phone, email, and address
- Entry instructions (key location, gate or alarm codes)
- Pets, and anything to watch for
- Preferences: products, rooms to skip, things they're particular about
- Frequency (weekly, biweekly, monthly) and usual day and time
- Usual price
This alone replaces the scattered notes app, the texts you scroll back through, and the details you try to remember.
2. A job log
After every clean, add one line: date, client, service, price, and Paid or Unpaid. It takes 20 seconds, and it becomes the record of everything: how often you see each client, how much they've paid you over time, and what you earned each month.
3. Who owes you
Small unpaid balances are the easiest money to lose. A client says "I'll get you next time," a check never shows up, a payment app transfer fails. If your job log marks every clean as Paid or Unpaid, you can add up each client's balance at any time and send reminders with confidence.
Tip: ask for payment on the day of the clean, and send a friendly reminder after 7 days. After 30 days, have a direct conversation.
4. Know who's next
For recurring clients, the next visit is just the last visit plus their frequency: last clean on the 6th, biweekly, so the next one is the 20th. A spreadsheet can figure that out automatically, so you can spot anyone who has quietly fallen off your schedule.
Make it a habit
The system only works if it's current. Update it at the end of each day, in the car before you drive home. Once a week, check who owes you. Once a month, look at your totals.
